Generate a document that puts submitted answers into the layout your team needs. A custom PDF can combine fixed text, changing response values and signatures in one completed record.

Start with the required output

Decide what the finished document must show: the agreement wording, respondent details, request reference, dates, signatures and any staff input. Keep the source readable and leave enough room for realistic answers. A PDF layout is different from a spreadsheet report; choose the output that fits the task.

If you begin with Google Docs, follow the Docs path. If you already have a designed PDF, use Document signature. Existing add-on resources may name Publish as PDF; the current document editor's mapping workflow can look different.

Map and review

  1. Check the questions used to collect each changing value.
  2. Match those values to the right places in the document.
  3. Review repeated values on multiple pages and similar fields belonging to different people.
  4. Check signature and signing-date locations separately from ordinary dates.
  5. Preview and inspect a completed example before sending requests broadly.
Inspect the completed layout with realistic answer lengths.

A field can exist without a page placement. Conversely, a mapped field may be in the wrong location after the source layout changes. Check both the field list and the PDF rather than assuming extraction is complete.

Choose where the output goes

Configure Google Drive filing for the team archive and emailed copies for recipients who need the completed document. Check the recipient, folder and naming settings against a sample response.

In a workflow, distinguish a submitted response from a fully signed record. A first signer may have finished while other required signatures remain pending. Review the completion state before treating the PDF as the final signed copy.

Maintain the layout

Recheck the output whenever you add questions, change wording, move signer blocks or change branding. Use realistic long values and inspect page breaks. Preserve already completed records when revising the setup for future requests.

If a PDF is absent, start with record and sync troubleshooting. If it exists but values are missing or misplaced, inspect field placement before retrying delivery or changing output destinations.
